1.             Definitions

"Administrator"

The individual in your Organisation that governs your Organisation’s Service account.

"Data"

Is any information You input into the Service.  

“Paycycle”

Is Paycycle Pty Ltd, the company that owns the Service.  

“Service”

Is the software made available by Paycycle via the Website.

“Website”

It’s the Internet site with domain www.paycycle.com.au operated by Paycycle.  

“You”

Means your company, and includes You, your employees, consultants, representatives and agents. “You” may also be referred as “Users” or “Organisation”.

2.             The Data is Yours

You can modify your account information at anytime. Paycycle’s practice is not to use such personal information for any purposes. Paycycle may use the collected personal information and other information Paycycle collects about your use of the Service to operate and make the Service available to You, for billing, identification and authentication, to contact You about your use of the Service, research purposes and to generally improve the content and functionality of the Service and Website. Paycycle may also transmit or share your personal information with its third party vendors and hosting partners to provide the necessary hardware, software, networking, storage, and other technology and services required to operate and maintain the Service, which may require that your personal information be transferred from Your current location to the offices and servers of Paycycle and the authorized third parties referred to here. Although Paycycle owns the software, code, databases, all rights to the Paycycle application, You retain all rights to your Data.

3.             You are in control of your data access

The data entered, or imported on instruction, by the Users of an Organisation is stored securely in a database and is only accessible to approved Users. The Administrator will have full control over who is invited to be a User. A user name and password is required in order to access an Organisation's information in Paycycle. It is the User’s responsibility to keep their passwords safe. It is the Administrator’s responsibility to ensure that any Users that are invited to use the Organisation’s account have permission to view the Organisation’s information stored in the Paycycle account. Paycycle, Paycycle’s staff and Paycycle’s partners do not have access to the User’s passwords and are therefore unable to access the Organisation’s account or data without receiving an invitation from the Administrator.

4.             Your data is protected

Paycycle maintains reasonable security measures to protect your information from loss, destruction, misuse, unauthorized access or disclosure. These technologies help ensure that your data is safe, secure, and only available to You and to those You provided authorized access. However, no data transmission over the Internet or information storage technology can be guaranteed to be 100% secure. Users should only enter, or instruct the importation of, data within a secure environment. This means that the User’s browser must support the encryption security used in connection with Paycycle servers. Paycycle uses 128 bit or higher security. The same level of SSL security that the banks use.

5.             We don’t store your credit card details

When You register for the Service, we ask for information such as your name, company name and address, e-mail address and credit card information. If You sign up for the 30-day free trial account, You are not required to enter your credit card information until You decide to continue with a paid plan. Paycycle uses a third-party intermediary to manage credit card processing. This intermediary is not permitted to store, retain, or use your billing information except for the sole purpose of credit card processing on Paycycle’s behalf.

6.             We monitor the system

Paycycle will never access the details of any transaction entered and stored in the Paycycle system or system usage history for a specific identifiable user, except where granted permission by the User to assist with resolution of a system issue or error. Paycycle may also access non-identifying and aggregated usage information about our customers, in order to better understand how they are using Paycycle so we can improve the system design and where appropriate have the system prompt users with suggestions on ways to improve their own use of the system.

7.             We’ll grant you access to your data

On request, Paycycle will provide the Administrator with a full export of the Organisation’s data in a common file format determined by Paycycle. The Organisation’s data may be permanently deleted by Paycycle 90 days after the Organisation stops paying to use Paycycle, or at the Administrator’s request.

8.             You can opt-out of any email communications

Paycycle sends billing information, product information, service updates and regular customer newsletters to registered Users via email. Where appropriate email communication will contain clear and obvious instructions describing how the User can opt to be removed from the mailing list. Paycycle will immediately remove any User upon request.

9.             You are responsible for checking the privacy policy of any third-party websites we link to

The Paycycle website may contain links to third-party websites. Paycycle takes no responsibility for the privacy practices or content of these websites.

10.        Business Transactions

Paycycle may assign or transfer this privacy policy, and your user account and related information and data, to any person or entity that acquires or is merged with Paycycle.

11.        This policy may be updated from time to time

Paycycle reserves the right to change this policy at any time and any amended policy will be posted on the Website.

12.        Read the Fine Print

All use of the Service available on the Website is subject to Paycycle’s Terms & Conditions. In the event of a conflict or disagreement between this Privacy & Security Policy and the Terms & Conditions, the Terms & Conditions will prevail.
